Facilities Operations Specialist - College of Fine and Applied Arts (Krannert Center for the Performing Arts)
Job Summary:
Under the general supervision of the Facilities Operations Coordinator, the Facilities Operations Specialist will be responsible for the effective management of inventory, key distribution, shipping and receiving, scheduling, and relationship management at the Krannert Center for the Performing Arts. Duties & Responsibilities:
Building Operations
• Distributes and tracks keys for building access, maintaining accurate records of transactions and deposits related to key distribution.
• Updates and maintains the attendant schedule for the Building Operations Team, ensuring all shifts are covered and adjusting schedules as needed based on event demands.
• Greets vendors and visitors, directing them to the appropriate locations within the building and providing operational support as needed.
• Ensuring that all facilities and equipment meet university safety standards.
Inventory
• Manages inventory for all operational equipment (e.g., chairs, tables, event supplies), ensuring items are available, properly tracked, and recorded in accordance with university procedures.
• Performs biennial inventory audits of all items, ensuring that all equipment and supplies are accurately counted, updated, and aligned with university inventory records.
• Coordinates the removal of items from official inventory, including documentation of the removal process, ensuring compliance with university policies for asset management.
Shipping & Receiving
• Coordinates shipping and receiving for materials, equipment, and supplies, ensuring proper documentation, delivery, and tracking within the appropriate departments.
• Inspects incoming materials for damage, addressing any claims or returns as necessary.
Performs other related duties as assigned.
Minimum Qualifications
- High School Diploma or equivalent.
- Any one or combination totaling two (2) years (24 months) from the categories below:
- College course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
- 60 semester hours or an Associate’s Degree equals one (1) year (12 months)
- Training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.
- Work experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.
Knowledge, Skills and Abilities
- Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Proficiency in Microsoft Excel, Filemaker, and other office software for tracking inventory, scheduling, and managing operational tasks.
- Experience in performing inventory audits and managing the removal of items from official inventory.
- Ability to manage key distribution and ensure proper record-keeping for building access.
- Good communication and interpersonal skills to collaborate effectively with internal teams, external vendors, and visitors.
- Attention to detail and the ability to follow established processes and protocols for safety, inventory management, and compliance.
- Ability to understand and follow written and oral instructions in a fast-paced environment.
Appointment Information:
This is a 100% full-time Civil Service 2379 - Facility Operations Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary range for the position is $18.46-$20.51/hour ($36,000 - $40,000 annually). We strive to provide a competitive salary, considering factors such as available market data, internal equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints. Ticket Sales Supervisor - College of Fine and Applied Arts (Krannert Center for the Performing Arts)
Job Summary:
This position enables and facilitates the Ticket Office to function efficiently by means of a thorough understanding of the total office operation and its multi-systems. Ticket Sales Supervisors must have a thorough understanding of ticketing procedures as they relate to the performing arts; a working knowledge of the arts is therefore critical. Duties & Responsibilities:
Customer Service
• Sell tickets to Krannert Center events via mail, phone, e-mail, online ticketing, and over the counter, including multiple-performance series tickets, expertly completing each transaction.
• Provides patrons with the best customer service by keeping the patrons’ viewpoint always in mind.
• Maintains familiarity with all building activities and events.
• Is thoroughly familiar with all policies relating to ticket sales, including group sales and complimentary ticket policies.
• Serves as a public relations contact with individuals and organizations interested in Krannert Center, answering questions about upcoming events and assisting patrons in selecting performances.
• Handles efficiently and accurately the full spectrum of the requisite cash and credit processes.
• Reviews and verifies the daily balancing of sales transactions, identifying and correcting errors and accounting for disposition of cash and non-cash items received in sales transactions.
• Acts as a liaison to other departments in Krannert Center when needed.
Staff Management
• Serves as immediate assistant to the Ticket Services Director and Assistant Ticket Services Director.
• Shares supervision of the student staff.
• Solely responsible for the training of student staff with emphasis on customer service, problem prevention and solution, accessible seating and services, and event content, including pronunciation of performers, musical pieces, and terms.
• Ensures that student staff excel in knowledge of our ticketing systems, policies, software, general building and arts knowledge, and are welcoming and professional in their interactions with patrons.
• Can assume supervision of the overall Ticket Office operation when it is necessary and appropriate.
Data Management and Reporting
• Solely responsible for maintaining databases and creating mailing lists as needed for Krannert Center communications.
• Creates and runs various ticket sales reports.
• Manages digital pre- and post-show communication with patrons.
Other Duties
• Is responsible for other duties as they are assigned.

This is a 100% full-time Civil Service 0069 - Ticket Sales Supervisor position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary range for the position is $40,000 annually. Marketing Communications Associate
The Marketing Communications Associate leads the compilation and dissemination of information to support the marketing communications team of Krannert Center. Manages internal projects including performance season books, compilation of artist marketing materials, and development and production of performance program booklets. Maintains content on KrannertCenter.com and collaborates on select other communications materials.
Key job responsibiliies:
- Interact cross-departmentally to gather necessary text, images, and information for season book, performance programs, artist marketing needs, and Krannertcenter.com.
- Maintain project status list for the department, including monitoring project deadlines and updating project tracking system as needed.
- Update, revise, and maintain content in the KrannertCenter.com content management system, University of Illinois web calendar, and other digital outlets.
- Write, edit, and proofread content with accuracy and following Krannert Center brand guidelines.
- Collaborate in the work of the Communications team to develop and implement integrated online/offline communications strategies and plans that support business goals for Krannert Center and the performance-related areas of Illinois Theatre, Lyric Theatre @ Illinois, and Dance at Illinois.
Qualifications:
• Bachelor’s degree in marketing, business administration, communications, public relations, or a closely related field.
• One (1) year (12 months) of professional work experience in marketing, public relations, communications, brand management, or a related professional area.
- Professional experience writing, editing and proofreading, project management experience, and familiarity with the Chicago Manual of Style or similar style guide preferred.
